By creating an account, you agree to the following:

Eligibility

You must be at least 18 years old to create an account, whether as a renter or as a property manager.

Accuracy

You agree to provide accurate information when creating your account, and to keep your password confidential. You're responsible for activity that happens under your account.

Ongoing improvements

ApplyOnce continues to add and refine features over time. We'll do our best to communicate changes clearly, and to give notice before anything that meaningfully affects your account or data.

No guarantee of housing or tenancy outcomes

ApplyOnce helps organize and share rental application information. It does not guarantee approval for any listing, and does not make leasing decisions on behalf of property managers.

Your rental profile and documents

As a renter, you can fill out a rental profile and upload supporting documents (ID, proof of income, proof of funds, and similar) once, so you don't have to re-submit them for every application. You're responsible for making sure what you submit is accurate and current — including that documents haven't expired. ApplyOnce does not verify, notarize, or independently confirm anything you submit; it's your responsibility to keep your profile truthful and up to date.

No credit or background checks

ApplyOnce does not run, request, or share any credit check, credit score, credit report, or background check — ours or a third party's — for any renter. That doesn't mean it won't happen: property managers commonly run their own credit and background checks as part of their standard screening process, using whatever tool they already use, entirely outside of ApplyOnce. We have no role in that process and don't receive its results.

The public rental readiness quiz

The quiz on our homepage doesn't require an account. If you choose to share your email address on the results screen (this is always optional), we store it along with your quiz answers so we can email you your results, and you may also receive other emails from ApplyOnce afterward. You can unsubscribe from these at any time via the link included in each email. If you don't share an email, your answers aren't linked to any identity, and no documents are uploaded at that step. We log your IP address only to limit repeated attempts, and don't keep it beyond that. Results are a general guideline, not a guarantee of approval or of finding a specific rental.

AI-generated summary

If you choose to generate an application summary, ApplyOnce sends your profile information and the documents you've uploaded to a third-party AI service (Anthropic's Claude) to produce a plain-language written summary of what you submitted. This summary is descriptive only — it restates what's in your file and flags anything that looks missing, expired, or worth double-checking. It never assigns a score, ranking, or rating, and never recommends approving or denying an application. Because it's AI-generated, it can make mistakes or misread a document; you're responsible for reviewing it for accuracy before it's shared with anyone. Regenerating it is included once per rolling 7-day period at no extra charge; if you want to regenerate again within that same 7-day period, an additional regeneration costs $1.90, billed through Stripe.

Membership (subscription)

Keeping your rental profile active requires a monthly membership, currently $16.90/month, billed through Stripe. Your card is charged automatically each month until you suspend or cancel. You can suspend your membership at any time from your account — billing stops immediately, and your profile and documents stay saved for 90 days in case you come back. Resuming before the date you already paid through is free; resuming after that date renews your membership automatically (a new charge). If a suspended profile isn't reactivated within 90 days, your profile and all uploaded documents are automatically and permanently deleted — your login/account itself is not deleted, only the profile and documents. You'd need to fill everything out again if you return after that point. We do not offer refunds for partial months.

Sending your application to a property manager

ApplyOnce's directory lists two kinds of property managers, and it works differently for each. Some already list their properties somewhere of their own (their own website, a listing on Zillow, etc.) — for those, ApplyOnce's directory just points you to that listing; we don't transmit your profile or documents to them ourselves, and any application happens on their own site. Others don't have a listing site of their own and accept applications directly through ApplyOnce — for those, you can apply from the directory (or by following a personal application link a property manager sent you directly), and we send your profile, documents, and AI-generated summary at that point. Either way, we only share your full profile and documents with a property manager when you actively choose to apply to them through ApplyOnce — a property manager never sees your individual profile or documents just by having an ApplyOnce membership. Once you apply through ApplyOnce, that property manager can view your information to evaluate your application; how they use it, and any application fee they charge you directly on their own systems, is between you and them, not ApplyOnce.

Property manager accounts

Property managers can create an ApplyOnce account to appear in the renter directory (filterable by the areas they serve), receive applications with organized documents and an AI-generated summary if they accept applications directly through ApplyOnce, and view anonymized, platform-wide market data (see "Market insights" in our Privacy Policy). A property manager membership is currently $49.90/month plus $1.00 for each application actually received through ApplyOnce, billed automatically through Stripe — the same suspend/resume mechanics described above apply. You can suspend your membership at any time — billing stops immediately, and your company profile stays saved for 90 days in case you come back. Resuming before the date you already paid through is free; resuming after that date renews your membership automatically (a new charge). If a suspended membership isn't reactivated within 90 days, your company profile (name, contact info, service areas, application settings, and your personal application link) is automatically and permanently deleted — your login/account itself is not deleted, and applications you've already received are not affected. You'd need to fill your company profile out again if you return after that point. A property manager who lists their own site is never charged the $1.00/application fee for applications that happen on their own site, since ApplyOnce isn't involved in those. A property manager who accepts applications directly through ApplyOnce can optionally list an application fee amount and payment instructions (Venmo, Zelle, a payment link, cash at showing, etc.) on their company profile, which we show to renters before they apply. Any application fee a renter pays a property manager — whether in person, by check, through a listing site or widget on the property manager's own website, or by following payment instructions shown on their ApplyOnce directory listing — is a transaction between the renter and that property manager; ApplyOnce only displays what the property manager tells us and is never a party to that payment, and never collects, holds, or processes it.

Third-party services

ApplyOnce uses Stripe to process payments (we never see or store your full card number) and Anthropic's Claude API to generate the optional AI summary described above. Both are established third-party providers with their own privacy and security practices; see our Privacy Policy for more detail on what's shared with them.
