ApplyOnce is a rental application platform. Renters build one verified profile — ID, income, references, and supporting documents — a single time, then share it with any participating property manager instead of re-filling the same paperwork for every listing. Property managers get organized, complete applications and can view anonymized, platform-wide market data to understand rental demand in their area.
We're based in Huntersville, serving the Lake Norman / greater Charlotte, NC area, and we're actively growing our network of participating property managers from there. If you're outside that area, you can still create a profile and take the quiz — just check the directory to see which property managers near you already participate.
No. ApplyOnce never runs, requests, buys, or shares a credit check, credit score, credit report, or background check for any renter. That doesn't mean a property manager won't run their own — many do, as part of their own screening process, entirely outside of ApplyOnce — but we have no role in that and never receive the results.
Passwords are hashed and never stored in plain text. Sensitive fields — date of birth, phone number, visa/ITIN/SSN, and business EIN — are encrypted before being saved. All traffic is encrypted (HTTPS), and uploaded documents are stored outside the public web folder, reachable only through your own login. See our Privacy Policy for the full detail.

Yes. The rental readiness quiz on our homepage is free, anonymous, and doesn't require an account. Building your profile is also free. A paid membership is only required to keep your profile active and shareable with property managers.
$16.90/month, billed automatically through Stripe until you suspend or cancel. You can suspend at any time — billing stops immediately, and your profile and documents stay saved for 90 days in case you come back. If a suspended profile isn't reactivated within 90 days, the profile and documents are automatically and permanently deleted (your login itself isn't affected).
It depends on whether you're applying as an individual or a company. Individuals typically upload ID, proof of income, and proof of funds; a company profile instead asks for formation documents, an EIN confirmation, and an authorized signer's ID. The documents checklist on your account tells you exactly what's required versus optional for your situation.
It's an optional, plain-language write-up of what's in your profile and documents, generated using Anthropic's Claude. It's descriptive only — it restates what you submitted and flags anything that looks missing, expired, or worth double-checking. It never assigns a score, ranking, or recommendation, and it can't approve or reject anything. Because it's AI-generated, it can occasionally make a mistake or misread a document, so it's worth reviewing before you share it.
You get one regeneration free every rolling 7-day period. If you want to regenerate again within that same 7-day window, an extra regeneration costs $1.90, charged through Stripe's secure checkout — there's no limit to how many times you can pay for an extra regeneration in the same window. The 7-day period resets automatically once it's been a full week since it last started.
Only the last 4 digits are ever shown — never the full number, and never to ApplyOnce itself beyond encrypted storage. A property manager only sees those last 4 digits if you've entered the number on your profile and checked the consent box confirming you understand it will be visible to property managers you apply to (typically for their own credit or background check). Your full number is never visible to anyone through ApplyOnce, and your visa number is never shown at all.
Yes. When building your profile, choose "Company / business" instead of "Individual." This covers a company renting office, retail, or warehouse space, or renting housing for an employee — it asks for your business details (legal name, EIN, entity type) and an authorized signer instead of personal immigration status and employment history.
"Rental Ready" means your profile and required documents are complete — it's a completeness check, not a judgment about you as an applicant. The estimated rent range shown alongside it is a general affordability guideline based on your reported income, not a prediction or promise. Neither one guarantees approval for any listing — that decision always belongs to the property manager or landlord.
No. ApplyOnce never collects, holds, or processes an application fee from you. If a property manager charges their own application fee, they pay it directly to that property manager, however they arrange it (in person, a payment link, Venmo/Zelle, etc.) — that payment never passes through ApplyOnce.
Yes. Your current or prior address can be in any country, and the phone field supports international country codes — useful if you're relocating from abroad or recently arrived on a visa.

If you already list your properties elsewhere (your own website, Zillow, etc.), ApplyOnce's directory simply links renters out to that listing — you're never charged the $1.00/application fee for those, since the application never passes through ApplyOnce. If you don't have your own listing system, you can accept applications directly through ApplyOnce instead, receiving each renter's complete profile, documents, and AI-generated summary in one place.
Yes. When creating your property manager profile, choose "Individual owner" instead of "Company / brokerage." Both options share the same directory listing and application tools — the company option just adds optional fields (license number, broker of record, years in business) that help renters trust larger operations.
Paying property manager members can view aggregate, anonymized statistics drawn from renter profiles across the whole platform — for example, what share of renters have an out-of-state address, or which home size is most in demand. These are counts and percentages only; any breakdown smaller than 5 renter profiles is folded into "Other" or hidden, so no statistic can ever identify one person. You can't search, look up, or filter down to an individual renter's profile this way — only a renter who actively applies to you makes their own profile visible to you.
Billing stops immediately, and your company profile (name, contact info, service areas, application settings, and your personal application link) stays saved for 90 days. Applications you've already received aren't affected either way. If it isn't reactivated within 90 days, the company profile is automatically deleted — your login itself stays intact, but you'd need to fill the company profile out again if you return after that point.
